A Day in the Life

When you receive an assignment, you'll arrive at your designated school or district office ready to support the administrative team from the moment the day begins. A typical day might start with answering incoming phone calls, greeting visitors, and directing them appropriately — serving as the welcoming face of the school's front office. Throughout the day, you may be composing correspondence from notes or oral instructions, typing letters, requisitions, surveys, or other documents, and operating office machines, computer terminals, and word processing equipment. You'll arrange appointments, establish and maintain files, and compile and prepare materials as assigned. Between tasks, you'll field questions from staff, students, and parents, exercising good judgment to resolve inquiries within established policies. Maintaining strict confidentiality concerning student records is a consistent and critical responsibility throughout every assignment. No two days are exactly alike — the variety of schools and departments you may support keeps the work engaging and ensures you're always building new skills.

Responsibilities

  • Perform secretarial duties including taking and transcribing dictation and composing correspondence from notes and oral instructions
  • Operate office machines, computer terminals, and word processing equipment to type letters, requisitions, surveys, resolutions, board materials, and various legal documents
  • Answer inquiries from staff, students, and visitors using initiative and independent judgment within the limits of established policies and procedures
  • Answer telephones, arrange appointments, and serve as a professional point of contact for the school or department
  • Establish, organize, and maintain filing systems to ensure accurate and accessible records
  • Compile and prepare materials as assigned by the supervising principal or department head
  • Maintain strict confidentiality concerning student records and sensitive district information at all times
  • Adapt quickly to the procedures, systems, and culture of each assigned school or department, ensuring minimal disruption to daily operations

Requirements

Required

  • ! High School Diploma or GED
  • ! Completion of the Griffin Spalding Employee Handbook acknowledgment
  • ! Successful completion of a Georgia Gemalto Background Check
  • ! Ability to work on an on-call, as-needed basis with flexible availability
  • ! Friendly, approachable attitude with a professional demeanor and appearance
  • ! Prior related experience working with children or in a school/educational environment
  • ! Punctual and reliable, with the ability to report to assignments on short notice
  • ! Ability to lift heavy objects up to 40 lbs as needed

Preferred

  • Prior experience in an administrative, clerical, or office support role, preferably in a K–12 school district or public sector setting
  • Proficiency with common office software such as Microsoft Office Suite (Word, Excel, Outlook) and familiarity with student information systems
  • Strong written and verbal communication skills, with the ability to interact professionally with students, parents, staff, and administrators
